A glimpse into the future of shipping logistics

Powerful IT solutions are an absolute must for a corporation of the magnitude of Volkswagen, which not only ships some 10 million vehicles to customers each year but also manages countless other consignments. That’s why VW’s system environment includes transport management software from AEB, deployed at 37 locations across Europe and serving some 6,000 users.

AEB software: the power of one

The Volkswagen Group uses the AEB solution to manage shipments of various non-mass-produced items such as body-in-white components, prototype parts, trade show booths, recycling materials, and promotional articles. Last year, the system’s largely automated workflows handled more than 1.7 million consignments by ocean freight, truck, railcar, parcel services, and air freight.

The solution generates all the necessary paperwork for transport, including waybills and hazardous goods documentation. It also ensures a high level of compliance by screening all consignee addresses against global sanctions lists – a feature that is especially important when shipping non-mass-produced materials to unfamiliar destinations.

VW even uses the shipping data to invoice carriers, greatly reducing its administrative overhead. The shipping software supports the invoicing process by feeding the necessary delivery note and consignment data to the in-house billing system.

Empty container movements and interplant shipments included

Volkswagen also uses the transport management software to control the movement of its containers around the world. The company needs to have empty containers such as crates and plastic bins available in its own plants and those of its suppliers so that they can be filled with parts and sent to assembly lines. The software also handles the interplant shipments that the various Volkswagen sites use to supply one another with body-in-white components and materials. The AEB solution even generates the appropriate transport documents and any export declarations needed to send empty containers to Switzerland or Turkey, for example.

Not just out of the box

The AEB transport management system used at Volkswagen is a combination of standard and customized software. Less than 3% has been customized especially for VW, though, so updates can still be easily installed at any time. An example of where customization proved useful is in handling the railcars used to remove scrap from the plants. VW uses the AEB solution to ship up to 900 metric tons of scrap each day in 30 railcars from its headquarters in Wolfsburg to steel mills or traders. This may seem like a minor process, but it plays an outsize role in day-to-day operations. Any disruption of scrap disposal processes can limit storage capacities and impede production.

AEB software: fully integrated, yet simple

The AEB software is seamlessly integrated into Volkswagen’s IT system environment, offering a broad range of features and the capacity for intercommunication with other systems. It supports various standard formats and allows for easy data import. It includes all relevant documents for exports and hazardous goods, and can handle other tasks such as generating hazardous goods annual reports and Intrastat reports. The system runs in the data center in Wolfsburg and is continuously improved and developed in collaboration with AEB.

Rollout to other sites and domains planned

VW continues to roll out the AEB software to other plants in Europe and other parts of the company’s operations. The integration of the new VW employee webshop – a platform with 115,000 registered workers – is just one example of this ongoing trend. The website allows VW employees to browse some 4,500 articles, including model cars, jackets, ballpoint pens, and bicycles. Orders are shipped with the help of the shipping and transport software of AEB.
